Darpan Registration: complete guide
Introduction
NGO Darpan is the national platform for voluntary organisations and non-governmental organisations in India, maintained by NITI Aayog. It gives each registered NGO a Unique ID, commonly called the Darpan ID, and creates a central database of voluntary organisations that ministries and government departments can use when they offer grants, schemes and partnerships. The aim is to build transparency and accountability between the government and the voluntary sector, so that public funds reach organisations that are genuine and identifiable.
For many NGOs, a Darpan ID has become a practical necessity. Several central ministries and departments require an organisation to be registered on the Darpan portal, and to quote its Unique ID, before it can apply for grants-in-aid or participate in schemes. State governments and public sector bodies increasingly ask for it as well. The Darpan ID also helps an organisation show donors, partners and corporate funders that it is a recognised entity, because its basic details and those of its key office bearers are recorded in the government's database.
Registration is done online and is currently offered without government charges. Even so, applications are often held up. The portal checks the PAN of the organisation against income tax records, and the names and PAN of key members against their own records, with OTP-based verification on mobile numbers and email addresses. Office bearers' details must be complete and consistent, and the information about registration, areas of work and achievements must match the organisation's documents. Organisations frequently struggle with name mismatches, Aadhaar or PAN details that do not match, or confusion about which members to list.
Our team helps you prepare the information, create the account, complete the profile accurately and obtain your Darpan Unique ID, and then explains how to keep the profile updated. This page covers who needs Darpan registration, eligibility, the process, the documents needed, timelines, our fee and what to do afterwards.
Who Needs It
Darpan registration is useful for any voluntary organisation that works with, or plans to work with, government bodies. It is especially relevant for:
- Trusts, societies and Section 8 companies that plan to apply for grants from central ministries or departments.
- NGOs working under government schemes in areas such as education, health, women and child development, social justice, tribal affairs, skill development or rural development.
- Organisations partnering with state governments, district administrations or public sector undertakings, many of which ask for the Darpan ID.
- NGOs seeking corporate partnerships, where a Darpan ID adds credibility alongside a CSR Registration Number and income tax registrations.
- Newly registered NGOs that want to build a formal profile early in their work.
- Established organisations whose earlier Darpan profile is incomplete, outdated or linked to old office bearers.
Unregistered groups, informal collectives and private trusts set up for specific family beneficiaries cannot generally register as voluntary organisations on the portal, because the platform requires a registered entity with its own PAN.
Key Benefits
- Access to government grants. Many ministries and departments require the Darpan ID before accepting grant applications from NGOs.
- Recognition in a national database. The organisation's basic profile becomes part of the official database of voluntary organisations.
- Credibility with donors and partners. Funders can verify the organisation's identity and key office bearers through its Unique ID.
- Transparency. Recording the organisation's registration, key people, areas of work and achievements in one place encourages good governance.
- Easier participation in schemes. Some online grant applications pull information from the Darpan profile, reducing paperwork.
- No government charges at present. Registration on the portal is currently free, so the main effort lies in preparing accurate information.
How the Unique ID is used in practice. When an NGO applies for a ministry grant, the application asks for its Darpan Unique ID. The ministry uses it to verify that the organisation is registered and that its details match. The same ID may be asked for in state-level applications, partnership agreements and some public procurement processes for social sector work. Keeping the profile current is therefore as important as getting the ID.
Darpan registration versus other NGO registrations. Darpan is not a legal registration that creates an NGO. The organisation must already be registered as a trust, society or Section 8 company. Darpan also does not replace income tax registration for charitable entities, CSR-1 registration or registration under the Foreign Contribution (Regulation) Act, 2010. Each serves a different purpose, and many NGOs need several of them.
Eligibility and Legal Requirements
To register on the Darpan portal, an organisation generally needs:
- Legal registration. The organisation must be registered as a trust, society, Section 8 company or other legally recognised non-profit entity, with a registration certificate and registration number.
- PAN of the organisation. The organisation must have its own PAN. The PAN is verified against income tax records, and the name must match.
- Details of key members. The portal requires details of a minimum number of key office bearers or members of the governing body, commonly three, including their name, designation, PAN and Aadhaar. These details are verified against official records.
- Contact details. A working email address and mobile number for the organisation, for OTP verification and future communication.
- Registration and area of work details. Registration authority, registration number, date and place of registration, the Acts under which the organisation is registered, key issues or sectors of work, and operational areas by state and district.
- Optional supporting details. Information on FCRA registration, if any, income tax registrations, achievements, and sources of funds received from government in earlier years.
Darpan registration is an administrative process and does not by itself change the legal status of the organisation. The organisation must continue to comply with the law under which it is registered, such as the Indian Trusts Act, 1882 or state public trust laws, the Societies Registration Act, 1860 or a state equivalent, or the Companies Act, 2013 for Section 8 companies, and with income tax law. The portal's requirements and verification methods are revised from time to time. We check the current process at the time of registration.
Step-by-Step Guide
- Initial review. We confirm that your organisation is legally registered and has its own PAN, and check whether a Darpan profile already exists for it.
- Document and information collection. You share the registration certificate, constitution documents, PAN and details of key office bearers, along with information on your areas of work.
- Consistency check. We compare the organisation's name across the registration certificate and PAN, and the office bearers' names across PAN and Aadhaar, and flag any mismatch.
- Account creation. We help create the organisation's account on the Darpan portal using its email address and mobile number, verified by OTP.
- PAN verification. The organisation's PAN is entered and verified against income tax records.
- Organisation profile. We complete the profile with registration details, address, contact information, key issues, operational areas and achievements.
- Key members. We enter details of the required office bearers and complete the verification of their PAN and Aadhaar as required by the portal.
- Funding and registrations. We add details of income tax registrations, FCRA registration if any, and any grants received from government sources.
- Submission and Unique ID. The profile is submitted, and the portal generates the Darpan Unique ID once verification is complete.
- Handover. We share the Unique ID and login details with you and explain how to update the profile when office bearers or details change.

How Long It Takes
Darpan registration is usually completed within two to five working days from the date we receive complete information. A typical timeline is:
- Review and consistency check: one working day.
- Account creation and profile completion: one to two working days, depending on how quickly OTPs and member verifications are completed.
- Generation of Unique ID: usually soon after submission, once the organisation's PAN and member details are verified.
Delays usually arise from name mismatches between the registration certificate and PAN, office bearers whose PAN or Aadhaar details do not match, or difficulty in completing OTP verification. We help you resolve these quickly.
Pricing
Our professional fee for Darpan Registration is ₹ 1,999.
This covers:
- Review of your registration documents and PAN
- Consistency check of organisation and member details
- Creation of the Darpan account
- Completion of the organisation profile and key member details
- Support with OTP and member verification
- Sharing the Unique ID and login details
- Guidance on updating the profile
Registration on the portal currently carries no government charge. Corrections to PAN, Aadhaar or registration records, and income tax, CSR-1 or FCRA registrations, are quoted separately where needed.
Common Mistakes to Avoid
- Name mismatch with PAN. The organisation's name on the portal must match the PAN exactly, including words like "Trust", "Society" or "Foundation".
- Listing members without their consent or details. Each listed member must provide their own PAN and complete verification. Choose members who are available and willing.
- Using a personal email or phone number. Use the organisation's own contact details so access is not lost when an individual leaves.
- Creating a duplicate profile. If an earlier profile exists, it should be recovered and updated, not duplicated.
- Vague areas of work. Choose the sectors and districts where you actually work. Ministries look at this when considering applications.
- Not updating after changes. When office bearers change or the organisation moves, the profile should be updated promptly.
- Treating Darpan as a substitute for legal registration. Darpan does not create or register an NGO; it only records a registered one.
- Ignoring messages from the portal. Verification requests and update reminders are sent to the registered email and mobile number. Check them regularly so that pending verifications do not hold up your profile or a grant application.
What Happens After
Once you have your Darpan Unique ID:
- Quote the Unique ID in grant applications to ministries, departments and state bodies that require it.
- Keep the profile up to date with changes in office bearers, address, contact details, areas of work and registrations.
- Add achievements and annual activities so that the profile shows your current work.
- Record government grants received as required, to maintain transparency.
- Maintain your legal compliances, such as annual filings with the Registrar of Societies, charity commissioner or Registrar of Companies, and income tax returns.
- Keep income tax registrations valid, renewing them when required, since funders often check them along with the Darpan ID.
- Consider related registrations, such as CSR-1 for corporate funding and FCRA for foreign contributions, if your plans require them.
Our team can help with NGO compliance, CSR-1 filing, income tax registrations and annual filings.
FAQs
What is a Darpan ID?
It is a Unique ID allotted to a voluntary organisation or NGO that registers on the NGO Darpan portal maintained by NITI Aayog. It identifies the organisation in the national database of NGOs.
Is Darpan registration mandatory?
It is not required by law for every NGO, but many ministries and departments require it before they accept grant applications. It is strongly advisable for NGOs that plan to seek government funding.
Can a newly registered NGO apply for a Darpan ID?
Yes. A newly registered trust, society or Section 8 company can register, provided it has its own PAN and the required details of key members.
Is there a government fee for Darpan registration?
Registration on the portal is currently free of government charges. Our fee covers preparing and completing the registration for you.
How many members must be listed?
The portal requires details of a minimum number of key office bearers or governing body members, commonly three. We check the current requirement at the time of registration.
Can an unregistered group register on Darpan?
No. The organisation must be legally registered and have its own PAN.
Does a Darpan ID replace 12A or 80G registration?
No. Darpan registration is separate from income tax registration for charitable entities and donor deduction. Each serves a different purpose.
Is Darpan registration required for CSR funding?
CSR funding requires a CSR Registration Number obtained through Form CSR-1. Some companies also ask for a Darpan ID as additional due diligence.
What happens if our office bearers change?
You should update the profile with the new office bearers and complete their verification. An outdated profile can cause problems in grant applications.
Can a Darpan ID be cancelled?
The portal may deactivate a profile if information is found to be incorrect or the organisation ceases to exist. Keeping accurate and current information helps avoid this.
We forgot our login. Can you help?
Yes. We can help you recover access through the portal's recovery process using the organisation's registered email and mobile number.
Is Darpan registration valid across India?
Yes. The Unique ID is national and can be quoted to central ministries and, where accepted, to state government bodies.
