GST Return Filing: complete guide
Introduction
Every business registered under the Goods and Services Tax must file returns for each tax period, even when there has been no business activity. A GST return is a statement of the sales you made, the tax you collected, the input tax credit you claimed on purchases and the net tax you paid to the government. The returns are filed online on the GST portal, and the information in them flows into the records of your customers, the department's analytics systems and, increasingly, into the auto-filled sections of your own later returns.
The main returns for a regular taxpayer are GSTR-1, which reports outward supplies invoice by invoice, and GSTR-3B, a summary return in which tax is actually paid. Taxpayers with smaller turnover can opt for the Quarterly Return Monthly Payment scheme, known as QRMP, which lets them file returns quarterly while paying tax monthly. Composition taxpayers file a quarterly statement of tax payable and an annual return. On top of this, most regular taxpayers must file an annual return in GSTR-9, and larger taxpayers must also file a reconciliation statement in GSTR-9C.
GST return filing has become far more automated and far less forgiving over the years. Purchase-side credit now comes through auto-drafted statements, and the Invoice Management System lets you accept, reject or keep pending the invoices your suppliers upload. Tax liability reported in GSTR-1 is carried into GSTR-3B, and changes after a certain stage are restricted. Returns cannot be filed once the time limit allowed by law for that period has passed, generally three years from the due date. A mistake that once could be quietly fixed in a later month may now be locked in, or picked up by the system as a mismatch and turned into a notice.
Our team handles your GST returns month after month: we collect your sales and purchase data, reconcile it with what your suppliers have reported, compute the tax payable, prepare and file the returns, and tell you in advance how much tax to pay and by when. We keep the reconciliation records so that your books, your returns and the government's data tell the same story. GST procedures and due dates change through notifications from time to time, and we check the current position for each filing.
Who Needs It
GST return filing is required for every person who holds a GST registration. This includes:
- Regular taxpayers registered under the normal scheme, whether a sole proprietor, partnership, LLP, company, trust or society.
- Small businesses under QRMP. Taxpayers with aggregate turnover up to five crore rupees in the previous year can opt to file GSTR-1 and GSTR-3B quarterly, while paying tax every month.
- Composition taxpayers who pay tax at a fixed rate on turnover. They file a quarterly statement in CMP-08 and an annual return in GSTR-4.
- E-commerce sellers, who must report supplies made through online marketplaces and reconcile them with the tax collected at source by the operator.
- Exporters, who report zero-rated supplies and often need refunds of credit or of tax paid on exports.
- Businesses with multiple state registrations, since each GSTIN files its own set of returns.
- Businesses with no activity in a period. Nil returns must still be filed. Non-filing leads to late fees and can lead to suspension or cancellation of registration.
- Special categories, such as Input Service Distributors, tax deductors, tax collectors, non-resident taxable persons and casual taxable persons, who file returns specific to their category. These are handled on request.
If you have recently obtained a GSTIN, filing obligations start from the effective date of registration. If you have missed some periods, we can also help you bring your filings up to date, subject to the time limits in the law.
Key Benefits
- On-time filing, every period. We track due dates for each of your registrations and file within time, so you avoid late fees and interest.
- Accurate input tax credit. We reconcile your purchase register with the auto-drafted credit statements and the Invoice Management System, so you claim the credit available to you and avoid claims that will be reversed.
- Tax payable known in advance. Before each due date, we tell you the tax payable in cash after credit, so you can plan your cash flow.
- Fewer notices. Many GST notices arise from mismatches between GSTR-1, GSTR-3B, the credit statements and e-way bills. Regular reconciliation reduces these.
- Protection for your customers' credit. Timely and accurate GSTR-1 filing lets your customers claim credit on your invoices, which matters for business relationships.
- Clean annual return. Monthly reconciliation makes the annual return and reconciliation statement far easier and more accurate.
- Records ready for audits and lenders. Banks, investors and auditors often ask for GST returns. We keep a tidy record of every filing and its working.
- One point of contact. You share data with our team and we deal with the portal, the reconciliations and the follow-ups with suppliers' data.
Monthly filing compared with QRMP. Under monthly filing, you file GSTR-1 and GSTR-3B every month. Under QRMP, you file both returns quarterly, but pay tax for the first two months of each quarter through PMT-06, either on a fixed-sum basis or based on actual tax due. You can also upload invoices for the first two months through the Invoice Furnishing Facility so that your customers get credit in time. QRMP reduces the filing burden for small businesses, but businesses whose customers need monthly credit may prefer to upload invoices monthly. We help you choose the option that suits your customer profile and cash flow.
How the process works in practice. Each month you share your sales and purchase data with us. We review it, reconcile purchases with what suppliers have uploaded, take action in the Invoice Management System, prepare GSTR-1, compute the liability, prepare GSTR-3B and send you the tax payable. Once you pay the challan, we file the return and send you the filed copies.
Eligibility and Legal Requirements
GST returns are governed by the Central Goods and Services Tax Act, 2017, mainly sections 37 to 47, and the Central Goods and Services Tax Rules, 2017, along with the state laws and the notifications issued from time to time. The key requirements are:
- GSTR-1 for outward supplies. Monthly filers file GSTR-1 by the eleventh of the following month. QRMP filers file it by the thirteenth of the month after the quarter. Invoices for business customers are reported individually, and supplies to consumers are reported in summary form.
- GSTR-3B for payment of tax. Monthly filers file GSTR-3B by the twentieth of the following month. QRMP filers file it by the twenty-second or twenty-fourth of the month after the quarter, depending on their state. Tax must be paid before the return is filed.
- Monthly tax payment under QRMP. QRMP taxpayers pay tax for the first and second months of a quarter by the twenty-fifth of the following month through PMT-06.
- Composition taxpayers. CMP-08 is filed quarterly by the eighteenth of the month after the quarter, and GSTR-4 annually by the thirtieth of April following the financial year.
- Annual return. GSTR-9 is due by the thirty-first of December following the financial year. It has been made optional for taxpayers with aggregate turnover up to two crore rupees, and the reconciliation statement GSTR-9C applies to taxpayers with turnover above five crore rupees, subject to the notifications in force.
- Conditions for input tax credit. Credit is available only where you hold a valid tax invoice, have received the goods or services, the supplier has reported the invoice and paid the tax, and the credit is not blocked under section 17(5). Credit for a financial year must be claimed by the thirtieth of November of the following year or the date of the annual return, whichever is earlier.
- Sequential filing. GSTR-3B cannot be filed for a period until the earlier period has been filed, and GSTR-1 for a period generally cannot be filed without the previous GSTR-1.
- Time limit for filing. Returns cannot be filed after three years from their due date, so very old periods cannot be brought up to date.
- Interest and late fees. Interest applies on tax paid late, and late fees apply per day of delay in filing, subject to caps notified by the government.
Due dates are often extended or revised by notification. We follow the dates notified for each period.
Step-by-Step Guide
- Onboarding. We review your registration details, filing frequency, past filing status, credit ledger and any pending notices, and agree a monthly data calendar with you.
- Data collection. Each period, you share your sales invoices, credit and debit notes, purchase invoices and expense bills, or an export from your accounting system.
- Sales review. We check invoices for correct rates, place of supply, customer GSTINs and the split between business and consumer supplies. Where e-invoicing applies, we match the data with the e-invoices generated.
- Purchase reconciliation. We match your purchase register with the auto-drafted credit statement and supplier uploads, and identify missing, excess and mismatched invoices.
- Invoice Management System actions. We accept, reject or keep pending the supplier invoices based on your records, and flag missing invoices for you to follow up with suppliers.
- Preparation of GSTR-1. We prepare and, after your approval, file GSTR-1 or the Invoice Furnishing Facility upload within the due date.
- Computation of liability. We compute output tax, eligible credit, credit reversals, reverse charge liability and interest, if any, and arrive at the cash payable.
- Payment advice. We share the tax payable and generate the challan. You make the payment through net banking or another permitted mode.
- Filing of GSTR-3B. Once payment reflects on the portal, we file GSTR-3B with the appropriate verification and send you the acknowledgement.
- Monthly report and records. We share a short summary of sales, tax paid, credit claimed and pending supplier mismatches, and keep the working files for annual return and audit purposes.

How Long It Takes
GST return filing is a recurring service, and the work follows the monthly or quarterly cycle:
- Onboarding: usually two to three working days to review your registration, past filings and data format.
- Monthly data review and reconciliation: two to four working days after we receive complete data, depending on the number of invoices.
- GSTR-1 filing: filed on or before the eleventh for monthly filers, or the thirteenth after the quarter for QRMP filers.
- GSTR-3B filing: filed on or before the due date, once the tax payment reflects on the portal.
To file comfortably within time, we ask for data by an agreed date each month, usually within the first few days. Late data, missing purchase invoices or delayed tax payment are the most common reasons for a delay in filing.

This covers, for one GSTIN:

- Reconciliation of purchases with the auto-drafted credit statement
- Invoice Management System actions based on your records
- Computation of tax payable and preparation of the challan
- A monthly summary of tax paid, credit claimed and supplier mismatches

Tax, interest and any late fees are payable to the government at actual. Annual returns and reconciliation statements, refund applications, notice replies, filing of old pending returns, additional GSTINs and high-volume transactions are quoted separately.
Common Mistakes to Avoid
- Missing nil returns. A period with no sales still needs a return. Missed nil returns attract late fees and can lead to suspension of registration.
- Claiming credit without checking supplier filing. Credit is available only if the supplier has reported the invoice. Claiming credit that does not appear in your statement leads to reversal with interest.
- Ignoring the Invoice Management System. Not reviewing supplier invoices can mean accepting incorrect invoices by default or missing those that need to be rejected.
- Wrong customer GSTIN in GSTR-1. Your customer cannot claim credit if their GSTIN is wrong, which can strain the relationship and lead to amendments.
- Reporting liability in GSTR-3B that differs from GSTR-1. Differences are flagged automatically and can lead to notices asking you to pay the gap or explain it.
- Claiming blocked credit. Credit on items such as certain motor vehicles, food and beverages and personal consumption is restricted under section 17(5).
- Missing the credit time limit. Credit for a year not claimed by the thirtieth of November of the following year, or the annual return date if earlier, is lost.
- Paying tax under the wrong head. Paying central and state tax instead of integrated tax, or the other way round, means paying again under the correct head and claiming a refund.
- Leaving defaults pending too long. Returns older than three years from their due date can no longer be filed.
What Happens After
GST filing is an ongoing cycle. Beyond the monthly returns, our team helps you with:
- The annual return and reconciliation statement after the financial year closes, using the monthly reconciliations already prepared.
- Supplier follow-up. We give you a list of suppliers whose invoices are missing or mismatched so you can ask them to file or correct.
- Credit reversals where payment to suppliers is not made within one hundred and eighty days, or where credit relates to exempt supplies.
- Notices and scrutiny. If the department issues a notice for mismatches or short payment, we help you prepare the reply with reconciliations.
- Refunds for exporters and businesses with inverted duty structures, through the appropriate refund application.
- Changes in your business, such as new states, new products or a change in filing frequency, which may require amendments to registration.
Keep your invoices, credit notes, purchase bills and payment records for the period required under the law, which is generally at least seventy-two months from the due date of the annual return for the year.
FAQs
Which GST returns do I need to file?
Most regular taxpayers file GSTR-1 for sales and GSTR-3B for tax payment, either monthly or quarterly under QRMP, plus an annual return where applicable. Composition taxpayers file CMP-08 quarterly and GSTR-4 annually.
Do I need to file returns if I had no sales?
Yes. Nil returns must be filed for every period while your registration is active. Nil returns can usually be filed quickly, but missing them leads to late fees.
What is the QRMP scheme?
QRMP lets taxpayers with turnover up to five crore rupees file GSTR-1 and GSTR-3B quarterly while paying tax monthly through PMT-06. It reduces filing work but needs monthly tax planning.
What happens if I file late?
Late filing attracts a late fee for each day of delay, subject to a maximum, and interest on any tax paid late. Continued non-filing can lead to suspension or cancellation of registration and blocking of e-way bills.
What is the Invoice Management System?
It is a facility on the GST portal where you can accept, reject or keep pending the invoices uploaded by your suppliers. Your actions decide which invoices flow into your input tax credit statement.
Can I revise a GST return after filing?
GSTR-3B cannot be revised once filed. Errors are corrected in later returns, within the time allowed. GSTR-1 details can be amended in later periods or through the amendment facility, subject to restrictions.
Why does my credit statement show less credit than my books?
Usually because some suppliers have not filed their returns, have reported invoices under the wrong GSTIN, or have filed late. We give you a list of such invoices to follow up.
Can I claim credit on all business expenses?
No. Credit is blocked on certain items under section 17(5), and credit must be reversed if it relates to exempt supplies or if suppliers are not paid within one hundred and eighty days.
Do you file returns for multiple GSTINs?
Yes. Each GSTIN is a separate registration with its own returns. Our monthly fee covers one GSTIN, and additional registrations are quoted separately.
Do I need to file the annual return?
GSTR-9 is optional for taxpayers with aggregate turnover up to two crore rupees, as per the current notifications. Others must file it, and taxpayers above five crore rupees must also file GSTR-9C.
How do I pay the GST due?
We generate the challan on the portal and share it with you. You pay through net banking, card, or over the counter at an authorised bank, and we file the return once the payment reflects.
Can you file my old pending returns?
Yes, subject to the three-year limit from the due date of each return. We file pending returns in sequence and calculate the late fees and interest payable.
What if I receive a notice for a mismatch?
Share the notice with us. We reconcile the data, identify the cause and help you prepare the reply. Notice handling beyond routine queries is quoted separately.
How do I share my data each month?
You can share invoice copies, registers or a report from your accounting software. We agree a simple format during onboarding to keep the process quick.
